
Earth Ministry Operations Manager
Organization: Earth Ministry is a non-profit organization committed to engaging the Christian community in environmental stewardship. We work in partnership with individuals and congregations to respond to this great moral challenge through education, individual and congregational lifestyle choices, and organizing for social change through environmental advocacy. While Earth Ministry is rooted in the Christian tradition, we actively engage all religious communities on climate and energy issues through Washington Interfaith Power & Light. Our programs and resources are in use across the US and Canada and available to all.
Definition: Half-time (20 hrs/week) staff position responsible for day-to-day organizational support. Duties include a mix of administrative, IT, financial, and program responsibilities.
Requirements: Bachelor's degree and minimum of one year experience in an administrative capacity, preferably with a non-profit organization. Working knowledge of Word, Excel, and database systems and excellent written and oral communication skills are required. Strong time management skills and the ability to juggle competing priorities are essential. Additional experience may substitute for education requirement.
Duties and Responsibilities:
Administration
- Oversee administrative responsibilities of the Lutheran Volunteer Corps staff member.
- Answer phones when in the office, answer general public questions.
- Implement and maintain a current record of office administrative procedures, track and order office supplies, distribute mail and route/respond to emoffice emails, manage funds in bulk-mailing permit account.
- Administer email, email listservs, website, phone, printer/copiers, postage, and fax systems, develop proposals for equipment upgrades as necessary.
- Update and oversee use of database, including keeping staff current on training, determining best practices, and changes in database structure.
- Assist with IT duties as needed between scheduled maintenance with IT specialists.
- Manage eCommerce (online sales) pages of Earth Ministry website: oversee edits as needed, determine needs for improvements in content design.
- Direct Earth Ministry publications program: order publications and track inventory, oversee book orders, update publication order sheets, develop and put into practice written plans to market Earth Ministry resources, follow-up on publication sales to increase membership.
- Plan and coordinate logistics for board meetings and other events.
- Assist Executive Director with hiring, administrative paperwork, and other tasks as assigned.
Development and Finance
- Assist Executive Director with writing and mailing of fundraising appeals and follow-up.
- Assist with writing and mailing of Annual report, grant reports, and other fundraising materials.
- Process donations including data entry, filing, and thank you letters.
- Assist with fundraising/special event planning, including the Celebration of St. Francis, donor receptions and house parties; and manage special fundraising projects.
- Procure and record in-kind donations.
- Complete annual paperwork for Earth Share of Washington.
- Prepare bank deposits and bring to bank, print deposit reports and credit card transaction reports and deliver to bookkeeper, mail payments.
- Assist the Bookkeeper with minor financial tasks as directed by the Executive Director.
Program
- Serve as Associate Editor of Earth Letter: meet with Editor to plan upcoming issue themes, ensure deadlines are met for in-house content, write individual and congregational profiles, and coordinate printing and mailing of Earth Letter.
- Design, create, send, and manage HTML emails sent via listserv and database.
- Maintain Earth Ministry website: renew content regularly, remove dated materials, add new content in consultation with other staff members.
- Oversee content of Earth Ministry blog.
- Liaison with librarian at Episcopal Diocesan Resource Center to keep library materials up-to-date.
- Take photos at events or arrange for them to be taken, acquire copies of photos, manage photo archive, and add to the website as necessary.
- Establish volunteer policies and recruit, train and manage volunteers/interns to assist with office tasks, tabling opportunities, and speaking engagements.
Salary and Benefits: $10-$13/ hour depending on experience, plus half-time medical benefits and generous vacation.
